Job Purpose:
The Procurement Administrator is responsible for liaising with project sites to maintain a high level of accuracy in record keeping for all hired plant, materials and equipment, both internally and externally provided. Providing an efficient, effective administrative service to the procurement function and both its internal and external customers.
Key Accountabilities:
- Liaising with project sites to maintain a high level of accuracy of records for all hired plant and equipment both internal and externally provided.
- Responsible for updating and maintaining the database with ‘Off Hired’ dates and references provided by the project sites and suppliers for external plant hire.
- Accurately maintaining the database of plant at all project sites including head office by recording movements both to and from project sites.
- Raising or amending orders under direction of the Buyers. Orders will be for both plant and materials with both internal and external providers.
- Resolving queries with project sites, procurement and accounts payable teams with respect to items which have been billed to sites.
- Maintaining the in-house catalogue of available plant and materials.
- Preparing reports as required for Senior Management teams.
- Delivering on ad-hoc requests, as directed by the Head of Procurement.
- Run reports to monitor PO compliance.
- Supporting the team in all other duties as directed by the Team Supervisor
- Producing monthly financial records detailing individual supplier spend
- Upkeep of ASL - ensure that supplier accreditations and certificates are kept up to date
Job Skills, Experience and Qualifications
Essential
- Experience of maintaining databases
- Strong organisation and prioritisation skills and the ability to work under pressure and to deadlines.
- Strong and confident communicator with ability to build effective relationships at all levels and with remote teams.
- High levels of data accuracy and attention to detail
- Have a high level of numeracy and IT skills
- Ideally have previous experience of working with purchasing and procurement systems. Any Purchasing qualifications will be an advantage, but they are not essential.
- Have strong organisational skills and attention to detail.
- Work well within a busy team.
- Have excellent time management skills.
- Role model for the Joseph Gallagher group’s behaviors and embed safety culture.
Desirable
- Knowledge and/or experience of working in a construction business environment
- Experience on Coins system
